Secretary (Experience VU) – Vincennes, IN

Full-time

 

Vincennes University’s Student Support Services department invites applications for a Secretary I position. This is a full-time, support staff position.

 

Student Support Services is a federally funded TRIO program which provides academic assistance, coaching, mentoring, and non-cognitive strategies to qualifying college students in all aspects of the college experience, with a goal to assist with retention, graduation, and transfer to four-year degree programs. The Secretary position reports to the Director for Student Support Services (Disability)

Responsibilities of the position are:

 

  • Greets and assists students, parents/family members, and/or other professionals seeking information regarding the Experience VU program

  • Processes applications for prospective participants, including following up with students, parents, health care professionals, and/or University personnel for documentation

  • Manages the Experience VU office and performs routine office duties that include but are not limited to:

  • Answering phone calls

  • Responding to email inquiries

  • Maintaining and updating student files and records

  • Purchasing and maintaining supplies

  • Maintaining equipment inventories

  • Rectifying monthly expenditures to Banner

  • Facilitates testing accommodations for students with disabilities

  • Prepares invoices and requisitions for vendor payments

  • Assist in Start VU days, orientation for new SSS students and parents, and other Department events

  • Maintain Department’s webpage

  • Assist with compiling the data for Annual Performance Review (APR)

  • Maintains FERPA, HIPAA guidelines

  • Participates in professional development

  • Work as a collaborative team member

Working Hours:

  • Hours are Monday through Friday 8:00am – 4:30pm. Must be available for occasional evening and Saturdays (Start VU).

Successful candidates will have:

  • Minimum of an Associate degree in Secretarial Science or applicable major

  • 1-2 years of experience working in an office environment

  • Understanding and sensitivity toward the needs and interests of underrepresented students (i.e., diverse culture, ethnic, and economical background, students with disabilities)

  • Knowledge of standard office practices (i.e., basic accounting/budget procedures, and personal computers and applicable software packages [e.g., Microsoft, Adobe])

  • Proficiency in BANNER is desired

  • Demonstrated knowledge of the University’s KRONO’s payroll system is desired

 Secretary I (MEP WA) – Bremerton

Full-Time

 

Vincennes University's Military Education Program Washington, to include Naval Base Kitsap Bremerton, Bangor, and Naval Hospital Bremerton sites as required. This is a full-time, support staff position with benefits located in Bremerton, WA.

 

This position is responsible for:

 

  • Data entry, preparing letters, answering phones and performing general office duties as assigned.
    Performs various clerical and routine accounting tasks in support of site operations.

  • Procure and maintain required office supplies.

  • Track student registrations, tuition payments, for both local and distance education site enrollments.

  • Maintain instructional supplies inventory to include textbooks, consumables and non-consumable assets.

  • Provide daily executive overview reports to the site director as required.

  • Assist the director in marketing and promoting VU MEP in Washington.

  • Travel as necessary to the educational sites of Washington

  • Provide cross training to other employees of VU MEP.

  • Provide support for Directors and Advisors.

  • Maintain a highly efficient and organized office environment, to include but not limited to: providing accurate information on phone, via email, and in person to the public; maintaining confidentiality in the work environment; creating and maintaining files and systems of organization both electronically and via hard copy; basic computer maintenance for all computers in the system; billing; meeting deadlines associated with the academic calendar; accurate operation of the VU Text Loan System.

  • Other duties as assigned by the Director.

The successful candidate has:

  • Education: High School Diploma or GED

  • Must have excellent written skills and be proficient in general business administration formats. Verbal communication skills both in person and on the phone are required.

  • Experience working with military personnel.

  • Experience in higher education settings.

  • Experience in busy office environment, multitasking.

  • Experience working with diverse clientele.

  • Must have excellent customer service skills. Friendly, outgoing, respectful attitude required.

  • Must be professional at all times.

  • Must be neat and clean in appearance at all times.

  • Must be punctual, reliable, and meet assigned deadlines.

  • Quick learner, ability to mentally organize, create solutions "on the spot" as well as long-term

  • Physical: Must be able to lift 50lbs. Must be able to traverse standard shipboard ladders found on US Navy and Coast Guard vessels.

  • Computer Skills: Typing skills and proficiency with Microsoft Office programs required.

  • Proficiency in Banner software desired but not required.
